As Business Support Officer, you will be responsible for executive administration and business support to an Executive Director and their senior leadership team, ensuring the smooth running of the Directorate, as well as contributing to the strategic direction. Working alongside senior level stakeholders, you will drive processes in business planning, performance management, communications and cross-directorate initiatives and projects.  You will also manage the Executive Director’s calendar, inbox, and priorities - coordinating key meetings, deadlines, and initiatives, acting as a key contact point, ensuring timely, professional communication and collaboration.

About the role:

 

  • Support the Executive Director in preparing for presentations – structure, format, preparing materials, developing speaker notes.
  • Provide strategic counsel.
  • Diary management, meeting scheduling, travel arrangements, room bookings.
  • Collate, review, and provide feedback on materials submitted for meetings; record minutes, actions, decisions and follow up actions are tracked and completed.
  • Format and proofread reports, presentations, and governance papers to a high standard.
  • Manage documentation (e.g. team risk register, business continuity plan), maintain SharePoint and Intranet sites and databases for the Directorate.
  • Monitor inbox for the Executive Director when required, and responding appropriately.
  • Collaborate with other Business Support Officers to ensure seamless coordination of projects and initiatives at Executive level.
  • Raising purchase orders, preparing invoices and submitting expenses. 
  • Ensure appropriate cover arrangements are in place during periods of absence.

 

About you:

 

You have proven experience supporting senior leaders and Executives, with excellent communication skills and confidence to gain trust and build rapport quickly.  Naturally, your organizational skills, attention to detail, proactiveness, and ability to prioritise tasks effectively whilst delivering multiple priorities to tight deadlines is something you thrive on - taking pride in your approach.  You have substantial office administration experience and are highly proficient in the MS Office suite - Teams, Word, PowerPoint, Excel, SharePoint.  We’re looking for someone who is flexible and adaptable, discreet, and who can work on their own initiative with minimum supervision in a fast-paced environment, joining the dots of the directorate to create an effective office, working collaboratively as a part of wider team.
